Categorize Transaction

After adding the data source, the next step is to categorize and review the obtained transaction. The process mainly includes the following two parts:

I. Automatically Match Event

Automatic matching Event means that the system will automatically match the Event for transactions according to a series of rules set by you. Except for transactions that you manually edit the Event, all other transactions will match the Event according to these rules.

1 What is an Event?

Event can be understood as a business activity label, which can define what happens to a transaction in business and what happens in accounting. Each Event corresponds to a specific accounting entry. When the transaction matches the corresponding Event, we can Perform accounting processing and generate financial statements.

2. List of rules

The rules list page displays all rules. You can create, edit, enable, disable, prioritize, delete and other operations on all rules. The system will automatically match the Event for transactions according to the priority order of the rules in the list.

The system will preset several default rules for each new project. The default rule details are as follows:

You can click the "Sources" tab to enter the "Sources" page, and then click the "Rules" tab on the "Sources" page to enter the rule list page

3. Creation of rules

Step 1: On the Rules page, click the Add Rule button

Step 2: In the pop-up window, fill in the name of the rule, the condition and the Event to match

Step 3: Click the "Save" button to save this rule

There are the following points to note:

  • The default priority of newly created rules is up to 1 (the first row in the list), and the priority remains the same when modifying the rule.

  • The default status of newly created rules is: Enabled

  • If you want to apply the new rules to an existing transaction, click the "Execute" button

4、Modification of the rules

Step 2: In the pop-up window, modify the content of the rule

Step 3: Click the "Save" button to save this rule

There are the following points to note:

  • After modifying the rule successfully, the status and priority of the rule remain unchanged.

  • If you want to apply the new rules to an existing transaction, click the "Execute" button

  • If you modify whether the rule is automatically reviewed or not, after the rule is executed, transactions that have been reviewed or are pending will be executed according to the new rule.

5. Enable/disable rules

  • You can switch the enabled/disabled status of rules directly in the rule list

  • The system will only match the rules in the enabled state

  • Disabled rules will be displayed in gray

6. Deletion of rules

  • You can delete a rule directly from the rule list.

  • After deletion, this rule will be permanently deleted

II. Review and edit transactions

All your transactions will be displayed on the "Transactions" page, where you can manage them uniformly.

You can click on the "Transactions" tab to go to the "Transactions" page.

I. List of transactions

After the system matches the Event to the transaction according to the rule, the transaction will be displayed in different tabs according to "Whether to automatically Reviewed" configured in the rule. At the same time, if the system detects suspected duplicate transactions, they will also be displayed in a separate list to remind you that you may need to deal with them.

  1. For Review list: Displays pending transactions, where you can review or edit your own transactions, pending transactions include:

    • Transactions Matched to Event by Rules Without "Auto Reviewed" Enabled

    • There is no transaction automatically matched to the Event, and the Event of the transaction is No set.

  2. Duplicates list: Displays the suspected duplicate transactions detected by the system, where you can handle duplicate transactions

  3. Categorized list: Displays reviewed transactions. Only the transactions in this list will participate in generating financial statements. The reviewed transactions mainly come from:

    • Transactions Matched to Event with "Auto Reviewed" Rules Enabled

    • Transactions you have reviewed or edited in the For Review list will be moved from the For Review list to the Categorized list

II. Review of the transaction

The review of transactions is a very important operation. It is the process by which you confirm transactions to ensure the accuracy of the generated financial statement data.

The review of transactions needs to be carried out in the For Review list. You can review transactions that have been automatically matched with Events individually or in batches. After the review is completed, the transactions will be moved from the For Review list to the Categorized list to participate in the generation of financial statements.

One thing to note: Transactions without an Event cannot be directly reviewed. You need to set the Event to automatically complete the review.

1. Review directly

  • Batch review: For transactions with Event, click the batch button of a certain transaction, the system will find other transactions similar to this transaction (From, To, Currency, Event are exactly the same), you can complete it in batches in the sidebar review.

2. Automatically review after setting/modifying Event

Transactions can be edited individually and in batches. As long as the editing is successful, the transaction will automatically become reviewed.

  • Single edit: Whether it is a transaction with or without an Event, you can drop-down to set or modify the Event directly in the list.

  • Set Events in batches: For transactions without Events, click the batch button of a certain transaction, and the system will find other transactions similar to this transaction (From, To, and Currency are exactly the same), and you can edit Events in batches in the sidebar .

III. Handling of duplicate transactions

We will display the transactions identified as suspected duplicates in the Duplicates list in the form of duplicate grouping, where you can view and process suspected duplicate transactions.It should be noted that transactions identified as suspected duplicates, like normal transactions, will also be displayed in the For Review list or Categorized list, and you can review and participate in the generation of financial statements normally, but they are displayed again in the Duplicates list to remind you.

1. Determination of duplicate transactions

We will consider two or more transactions that are consistent with the following conditions as suspected duplicates (Note: Ignore transactions are not counted):

  • Hash or transaction ID

  • Time of the transaction

  • Currency

  • Number of transactions

  • From

  • To

  • Event

2. Processing of duplicate transactionsYou can perform the following two operations on suspected duplicate transactions:

  • If you believe that the transactions in a certain group are not duplicates, you can click the "Keep All" button of this group, and we will remove this duplicate group from the list of Duplicates without making any changes to the transactions.
